How to use this report.

We've ranked the most common SMB workflows by AI automation ROI. The ranking is based on three things: payback period (how fast it pays back the build cost), implementation complexity (how hard it is to ship correctly), and monthly value range (low and high end of what we see in practice). The data is from 100+ Dyntyx implementations cross-referenced against published industry research.

Start at the top of the Critical tier. Workflows in that tier pay back in under 60 days and require no specialized expertise. If you have any of them sitting un-automated, that's where your highest-ROI move lives.

The Experimental tier exists to save you from vendor pitches. Those workflows are real, the vendors selling them are real, the deliverable doesn't quite work yet. Buy with eyes open — or wait 12-18 months.

How we ranked these.

Each workflow gets a composite score (0-100, higher is better) from three weighted inputs:

  1. 40pt
    Payback period (40% weight)

    How fast the recovered time and revenue cover the build + run cost. Anything under 3 months scores highest.

  2. 20pt
    Implementation complexity (20% weight)

    1-5 scale. 1 = no integration, basic prompt logic. 5 = deep system integration, custom AI training, multi-stakeholder workflows.

  3. 40pt
    Realized monthly value (40% weight)

    The high end of monthly $$ value we see in actual deployments. Reflects both team-time recovered and revenue impact.

Industries listed are the ones where the workflow has the cleanest fit. Most workflows generalize, but the data is strongest in the listed industries.

The patterns the data reveals.

We've looked at this dataset a few different ways. Three patterns are clear, and they matter for how you should sequence your AI program.

Pattern 1: Operations beats marketing for SMBs.

If you sort by payback period, the top 15 workflows are dominated by Operations and Sales/GTM — almost no Marketing workflows in the top tier. The reason: operations workflows have measurable, immediate cost or revenue impact, while marketing AI is mostly content acceleration without a clean attribution path.

Most SMBs do the opposite — they start with content marketing AI because it's the easiest to see (ChatGPT writes a blog post, the team feels productive). That's the productivity theater trap. The real ROI is in the unglamorous operations workflows: lead routing, document chasing, status updates, reconciliation.

Pattern 2: Industry matters more than category.

A workflow that's a high-value Critical-tier deployment for a law firm (intake & conflict checking) is irrelevant for a SaaS company. Filter the list by your industry before reading anything — the same workflow ranking changes dramatically by vertical.

The workflows that generalize best across industries: lead routing, status updates, document chasing, follow-up automation, and CRM enrichment. If you're not sure where to start, start with one of those.

Pattern 3: The Experimental tier is where most AI vendors are pitching.

Notice how many of the workflows in the Experimental tier are exactly the ones AI vendors love to demo? Fully autonomous SDR, voice AI for outbound, end-to-end financial close. The demos are real. The production ROI isn't there yet — the gap between demo and reliable in-production is wide enough that those deployments produce more headache than value today.

By H2 2027 or H1 2028, some of those workflows will graduate to the Specialist or High tiers. Track the technology, but don't be the buyer who pays full price to be a beta tester.
